Executive Clergy Assistant

Skills Required

Assist the Senior Rabbi
• Calendar management and planning
• Manage Senior Rabbi’s schedule and arrangements for clergy-led areas including worship and programs
• Coordinate meetings and appointments with congregants, B’nai Mitzvah students and families, and others
including creating zoom links when necessary
• Manage communication including mail, email and telephone calls including voice mail
Manage ritual-related communications
• Address special Kaddish and Yahrzeit requests
– Communicate information to ensure memorial plaques are in place
• For lifecycle events, enter pastoral care matters in data management platform, and share information for
inclusion in weekly email
– Coordinate lifecycle intake meetings
– Communicate information congregation-wide as appropriate
Ongoing administrative work
• Meet with Senior Rabbi as needed
• Attend weekly staff meetings, prepared with information that has an impact on the synagogue
• Prepare weekly Shabbat program
• Coordinate with Cantor to be sure weekly B’nai Mitzvah needs (certificate, Kiddush cup) are provided
• Prepare weekly Shabbat information for including Kaddish and Shloshim lists
• Prepare and send of Yahrzeit letters
Budget process
• Provide support to Senior Rabbi for budget management; assist with expense report process
Accounts payable
• Coordinate paperwork for bookkeeping admin for Senior Rabbi expenses and other engagements at the Senior Rabbi’s direction and under the guidance of the Executive Director
Technology, Marketing & Communications
• Collaboratively identify information for synagogue communications, including death notices and send to Communications Manager
• Support colleagues in a team environment using a collegial and cooperative manner

Required Qualifications
• College degree strongly preferred
• Detail oriented, highly organized with excellent time management skills
• Excellent verbal and written communication skills
• Proficient in MS Office/Google programs, Slack, ShulCloud, Notebird
• Ability to work collaboratively
• Understanding of how to work with volunteers
