Job Description

Temple Sharey Tefilo-Israel is seeking an Clery Assistant/B’nai Mitzvah Coordinator.

In this role you will provide administrative support to the Associate Rabbi and Cantor. In addition, you will be responsible for ensuring that the B’nai Mitzvah program runs efficiently. This part-time position reports to the Executive Director, in coordination with the Cantor and the Associate Rabbi, depending on the specific task.

Primary Duties and Responsibilities

  • Coordinates and maintains all administrative work for the Cantor, Associate Rabbi, and Student Cantor, including schedule and calendar management, external communication (phone and email)
  • Administrative support as needed for programming; coordination of contracts for musicians and other guests; placing supply orders, coordinating deliveries; arranging set-ups with maintenance, etc.
  • Proofreading, copying, printing, and other tasks as needed by the Cantor and Associate Rabbi
  • Maintaining contact lists and facilitating communication with key groups
  • Works with the Cantor to coordinate and execute the B’nai Mitzvah Program:
    • Communicate directly with B’nai Mitzvah families as needed
    • Coordinate/maintain the B’nai Mitzvah calendar correctly as needed including scheduling all clergy appointments with B’nai Mitzvah families
    • Coordinate with religious school to maintain/update student information and communication lists
    • Create/Maintain all B’nai Mitzvah documents for services – honors sheets, programs, student materials, etc.
    • Assist in yearly scheduling of B’nai Mitzvah dates including preparation and communication.

Skills Required

  • Customer Relationship Management (CRM) software
  • Excellent verbal and written communication skills
  • Organized, detailed oriented, able to multitask and prioritize effectively
  • Must be collaborative, have a professional demeanor, a positive and proactive attitude, good judgment and be reliable
  • Have discretion with confidential and sensitive issues

Experience and Qualifications

  • 3+ years equivalent work experience preferred
  • Basic knowledge of the Jewish religion and rituals strongly preferred
  • Working knowledge of Google suite (gmail, google calendar, google drive), Microsoft Office (Word, Excel) Constant Contact, and Zoom
